What you'd do
- Serve as the primary point of contact for participating NPOs, building strong relationships with group leaders and maintaining consistent communication regarding events, requirements, and program updates.
- Coordinate NPO staffing for events, including staffing commitments, group assignments, volunteer rosters, call times, and event-day check-in.
- Maintain accurate and organized records of NPO participation, attendance, training requirements, staffing assignments, and other required documentation.
- Proactively identify staffing shortages and work with existing and prospective NPO partners to ensure event staffing needs are met.
- Recruit, onboard, and develop new NPO partnerships to support the continued growth and success of the program.
- Manage event-day NPO check-in and assist with resolving call-outs, late arrivals, roster discrepancies, and other staffing challenges.
- Manage post-event invoicing by verifying attendance and staffing information, submitting accurate documentation, tracking payment status, and resolving discrepancies to help ensure organizations are paid accurately and on time.
- Communicate and reinforce company, venue, food safety, alcohol service, cash-handling, uniform, training, and operational expectations with participating organizations.
- Partner with Operations, Finance, Human Resources, and other departments to support the overall success and continuous improvement of the NPO program.
- Perform additional staffing, administrative, and event-related duties as assigned.

- Strong relationship-building and customer service skills with the ability to work effectively with community organizations, volunteers, and internal leadership.
- Previous experience in staffing, scheduling, volunteer coordination, hospitality, event operations, community outreach, or a related field preferred.
- Strong attention to detail with the ability to manage multiple organizations, rosters, deadlines, and event requirements simultaneously.
- Strong problem-solving skills and the ability to adapt quickly in a fast-paced event environment.
- Proficiency in Microsoft Office, including strong working knowledge of Microsoft Excel and Outlook.
- Ability to accurately maintain and reconcile staffing, attendance, invoicing, and payment records.
- Must be proactive, dependable, professional, and self-motivated.
- Must be available to work event days, including days, evenings, weekends, holidays, and extended hours as required.
