Job Description
The Executive Administrative Assistant provides high-level administrative support to senior leaders, ensuring efficient daily operations, effective communication, and seamless coordination across internal and external stakeholders.
What you'd do
- Manage complex calendars for senior leaders, including scheduling meetings, prioritizing requests, resolving conflicts, and ensuring leaders are prepared for commitments.
- Coordinate and support meetings, including scheduling, agenda preparation, logistics, materials distribution, note-taking, and follow-up activities.
- Host and facilitate Microsoft Teams meetings, manage participant access, support presentations, and provide basic troubleshooting as needed.
- Arrange domestic and international travel, including flights, lodging, transportation, itineraries, and related logistics in accordance with company policies.
- Prepare, submit, and track expense reports, ensuring accuracy, proper documentation, coding, and approvals.
- Plan and coordinate leadership meetings, offsites, team events, and other business activities, including venue coordination, catering, communications, materials, and event execution.
- Create, edit, and coordinate PowerPoint presentations, reports, correspondence, and other executive-level communications.
- Collect, organize, and interpret information to prepare reports, presentations, and business documentation.
- Manage office supply inventory and vendor relationships to ensure operational needs are met.
- Serve as a point of contact for leaders, internal partners, external stakeholders, and administrative professionals.
